SECURITY & DATA

The proposal is visible. The control stays with you.

Asernia reads incoming work and prepares proposals. People approve them, rules check invoices and the record shows what happened. These controls are part of how the product works.

Human approval at every step

Asernia proposes the client from the tax ID on the document. A person confirms the match. Asernia drafts the reply. A person reviews and approves it before it goes out.

Accounting entries remain proposals. Asernia creates a file for each company containing only what has been approved. A person chooses what to export and imports that file into the practice's accounting software.

Nothing goes out until one of your people signs it off.

A record that only adds

Confirming a client, approving a proposal, exporting a file: the append-only log records who acted, when and what changed. New records are added to the history.

The work can be reviewed through its decisions and approvals, with the person responsible recorded.

The AI proposes. Rules check.

Each invoice passes through a rules engine before Asernia proposes an entry. The checks cover totals, tax IDs, the Veri*Factu QR code, withholding tax and VIES.

The proposed entry uses the chart of accounts for that company, with the reasoning available for review. An invoice that does not add up goes to review.

Impersonation warnings also come from rules. They can flag a domain resembling the client's or a change to bank details.

Sources in view, uncertainty stated

Figures, dates and rules come with their source in view. A proposed deadline shows the applicable article and the practice's calendar.

When Asernia cannot know, it says so. It does not invent a tax rate, a date or a deadline. Asernia does not advise whether to request a deadline extension. That remains the adviser's professional judgement.

Each practice is isolated

Each practice's data is isolated at database level. A programming error cannot mix the data of two practices: the database prevents it.

One practice cannot see another's data.

Distributors see usage, never contents

The partner panel shows practices and their usage in cents. Client correspondence, documents and their contents are outside the distributor's view.

This access boundary is enforced by the server.

Hosted and maintained in the EU

Asernia is hosted and maintained by us in the EU. Practices and distributors do not need to develop the service themselves.

An alternative AI provider

If the main AI provider fails, another provider takes over.

A monthly AI usage cap for each practice

Each practice has a monthly AI usage cap. When it is reached, analysis stops and Asernia makes that clear.

Before working with real data

A GDPR data processing agreement is signed before Asernia works with real data.

Where the product runs today

Asernia currently runs in Spain, with Spanish regulations and document formats, and is in the pilot stage. Adaptation for another market is undertaken with a partner in that country, covering its rules, formats and language.

Talk through the controls

If you are considering Asernia for your practices, we can discuss the workflow, the approval steps and the boundaries of the partner panel.
